View Insurance Compliance Statuses for a Commitment (Alberici Enterprise)

Objective

To review and track insurance compliance for a commitment.

Background

The Enterprise Risk Management team utilizes myCOI in collaboration with our Trade Partners to track certificates of insurance  and verify insurance coverage. Insurance policy information and its current status are automatically integrated from myCOI to Procore, with an integration that runs every two hours. This ensures data stays up to date while giving project teams greater visibility into policy details and compliance status without needing to leave Procore. 

Insurance Compliance is tracked at the project level within Procore. There are two (2) methods for viewing insurance compliance for the 'Contract Company' associated with a commitment. Your team can choose to use one (1) of these methods:

  • View Insurance Compliance Statuses with the Commitments Tool
    • Provides basic insight into the Insurance policies with status indicators of Compliant or Non-Compliant, and detailed notes and requirements needed to obtain compliance.
      OR
  • View Insurance Compliance Statuses with the Project Directory Tool
    • Provides detailed insight into Insurance policies, more graunular statuses, and detailed notes and requirements needed to obtain compliance.

Things to Consider

As contracts are issued to Trade Partners, the Risk Management team will create them in myCOI and establish the appropriate connection to the associated commitment in Procore. If checking for Insurance compliance and you see 'No Insurance', please reach out to the support team (support@alberici.com) and include the URL of the company's project directory page for resolution.

If a Trade Partner has multiple contracts on a project, please reach out directly to Risk Management to verify compliance for each individual commitment.

Steps

The steps to follow depend on the Procore tool you decide to use:

View Insurance Compliance Statuses with the Commitments Tool

If Procore Pay is not enabled on your project, you can access Insurance information from the commitments tool by following these steps, which will automatically redirect you to the Project Directory record.

  1. Navigate to the Project level Commitments tool. 
  2. Under the Contracts tab, locate the commitment to work with.
  3. Click the Pop Out icon next to the Contract Company name.

  4. If the 'Contract Company' has any existing insurance information, it will appear as rows in the Insurance tab

Procore Pay adds a 'Compliance' tab to a project's commitments which lets you review and track your Trade Partner's insurance certificates to ensure that required insurance information is valid (i.e., not expired) before releasing invoice payments with Procore Pay.

  1. Navigate to the Project level Commitments tool. 
  2. Under the Contracts tab, locate the commitment to work with.
  3. Click the Number link to open it. 
  4. Click the Compliance tab.

  5.  If the 'Contract Company' on the commitment has any existing insurance information, it will appear as rows in the table of the Insurance Card

Viewing the Insurance Card

This table details the elements of the Insurance card in a commitment as they integrate from myCOI.

Element Description
Compliance Status For the overall Compliance Status to read 'Compliant', all listed insurance entries must also be in the 'Compliant' status. 
  • Compliant. Indicates all insurance information is in the 'Compliant' status. 
  • Not Compliant. Indicates that at least one (1) insurance entry is set to a status other than 'Compliant' in the Directory tools.
     Important
    • For a detailed breakdown of the Status of each individual line item, view the Status column of the Insurance Card table.
Name Shows the insurance name/policy type
Level Shows Project to indicate that insurance requirements are tracked a the project level
Status Shows if the status of each policy is Compliant or Non-Compliant. For a complete breakdown of statuses, view the Insurance tab within the Directory.
Effective Date Shows the effective date for the policy
Expiration Date Shows the expiration date of the policy. These icons also alert users when the insurance is nearing or past the expiration date:

expiring-soon.png Expiring Soon. Starts showing 14 days before the expiration date set for the insurance.

expired.png Expired. Starts showing one (1) day after the expiration date set for the insurance.

Note: If the expiration date passes before a renewal certificate is submitted, the Compliance Status will automatically update to Not Compliant.
Notes Shows dated notes for the insurance information. This will list all details for any policy listed as Non-Compliant.

 

View Insurance Compliance Statuses with the Project Directory Tool

  1. Navigate to the Project level Directory tool. 
  2. Under the Users tab, click the Company Name hyperlink
    Note: If multiple directory entries exist for a company, ensure you are selecting the directory entry that matches the 'Contract Company' on the Commitment.

  3. If the Company has any existing insurance information, it will appear as rows in the Insurance tab

Viewing the Insurance tab

This table details the elements of the Insurance tab in the Directory for fields that integrate from myCOI.

Element Description
Type Shows the insurance name/policy type
Status Shows the compliance status of each policy. For a complete breakdown of statuses, please see the Status Table below.
Exempt? Shows if the Trade Partner is exempt from the listed policy
Information Received Shows if the Trade Partner has submitted the insurance information via myCOI
Policy Number Shows the Policy Number 
Expiration Date Shows the expiration date for the policy.
Notes Shows dated notes for the insurance information. This will list all details for any policy listed as Non-Compliant.

 

Status Table

This table details the statuses that display in the Insurance tab in the Directory.

Status Description
Unregistered The Trade Partner has not yet registered with myCOI.
Note: This is a one-time process for each Trade Partner and doesn't have to be completed for each Commitment.
Undecided In-Progress

If Undecided In-Progress AND Information Received is No, the Trade Partner has registered but not yet submitted insurance

If Undecided In-Progress AND Information Received is Yes, the Trade Partner has submitted insurance and its currently Under Review.

  • Insurance review is typically completed by Risk Management within 2 business days

Compliant In-Progress Compliant, and new insurance has been submitted and is currently Under Review.
Compliant Insurance has been submitted, reviewed, and meets requirements.
Non-Compliant

Insurance has been submitted, reviewed, and does not meet requirements. Changes have been requested. 

A previously compliant policy may become Non-Compliant if the expiration date passes before a renewal certificate is submitted, OR the policy changed and no longer meets requirements.

Non-Compliant In-Progress Revised insurance has been resubmitted and is currently Under Review.
Non-Compliant Finalized Insurance was not submitted, OR submitted insurance did not meet requirements and the Trade Partner did not respond to resubmission notices for 21+ days.

 

 Warning

All policies must have a status of Compliant in order to release invoice payments via Procore Pay.

Reference the Notes section for action required on any Non-Compliant policies.
