Import Contacts into your Company Level Directory tool (Windows)

 

Objective

To import contacts (i.e., users or vendors) into your Company Directory with the Imports tool for Windows 10.

Background

In Procore, the Company level Directory contains the contacts who do business with your organization including subcontractors, suppliers, vendors, and other entities. The Company level Directory tool also include all the addresses, projects, bidding, and insurance information critical to your organization. Adding Company level contacts to Procore also makes it easier to communicate with the employees who work for the company. 

Things to Consider

  • Required User Permission: 'Admin' level permissions on the Company's Directory tool.
  • Additional Information:
    • This feature is only available on Windows 10 version 16299 or higher. See Update the Windows App.
    • Imported contacts cannot be deleted; please carefully review your contacts before importing them into to Procore.
    • Only files in CSV format that have been properly filled out are accepted by Procore's Imports tool. See How do I prepare my contacts for the Imports tool?
    • When importing contacts, you'll have the option to either import a CSV of new "users" or new "vendors," which are defined as following:
      • User: In Procore, a "user" is an individual person who will be logging into Procore, such as your employee or an employee of another company who will be accessing your project.
      • Vendor: In Procore, a "vendor" is another company or entity that members of your company interact with during a project.
    • Important! As a best practice, Procore recommends that you import 'user' contacts before 'vendor' contacts.

Prerequisites

  1. Prepare and format your contacts for import. See How do I prepare my contacts for the imports tool?

Steps

  1. In your Procore for Windows 10 App, select the Company into which you want to import contacts.
  2. Navigate to the Imports tool.
  3. Choose from the following options:
    • Add New Users: Select this option to import a list of users to your project.
      Note: In Procore, a "user" is an individual person who will be logging into Procore, such as your employee or an employee of another company who will be accessing your project.
    • Add New Vendors: Select this option to import a list of vendors to your project.
      Note: In Procore, a "vendor" is another company or entity that your company interacts with during a project.
  4. Choose from the following options:
  5. Choose Select CSV File to upload a CSV file of contacts from your local device.
  6. Review your contacts.
    Note: If you attempt to import a contact that already exists, you will be asked whether or not you want to overwrite the existing contact with the import's information.

  7. Choose from the following options:
    • Save these records: Select this option to save your records as a CSV and return to complete the import process at another time.
    • Upload to Procore: Select this option to proceed with the import process.

  8. Confirm your decision to import your contact list by typing your project's name in the text field and clicking Proceed.
    Important! Imported contacts cannot be deleted; please carefully review your contacts before importing them into to Procore.
