How do I prepare my contacts for the Imports tool?

 

Background

With Procore's Imports tool for Windows 10, you can import either a list of users or vendors into your company's of project's Directory tool. Before you begin this process, you must prepare and format your contacts for import; only files in CSV format that have been properly filled out are accepted by Procore's Imports tool.

Answer

To ensure that your contacts are successfully formatted for import, Procore recommends performing the following tasks:

Download the Import Template
  1. Navigate to the Imports tool in your Procore for Windows 10 App. 
  2. Select the Company or Project into which you want to import contacts.
  3. Choose from the following options:
    • Add New Users: Select this option to import a list of users to your project.
      Note: In Procore, a "user" is an individual person who will be logging into Procore, such as your employee or an employee of another company who will be accessing your project.
    • Add New Vendors: Select this option to import a list of vendors to your project.
      Note: In Procore, a "vendor" is another company or entity that your company interacts with during a project.
  4. Choose Save & Open Blank Template to download an excel import template to your local device.
Review and follow the template's formatting instructions

Once you've downloaded the blank import template you can review the template's instructions and sample data, by clicking the excel file's Instructions and Sample Data tabs (see image below).

When you're ready to fill in the template, click the Add Data Here tab (see image below) and enter the contact information you want to import in accordance with the template's instructions.

Save your Excel Template as a CSV file

Procore's Imports tool for Windows 10 only accepts imports saved in CSV file format. To save your excel file as as CSV,

  1. Click File.
  2. Click Save As.
  3. Specify the location where you want to save your file.
  4. In the Save as Type drop down, select CSV (Comma Delimited).
  5. Click Save.
