Create an Observation from an Inspection (Android)

Objective

To create an observation from an inspection on your Android mobile device.

Background

You may want to create an observation from an inspection if a task is deficient or requires follow up work to be completed by the inspection's point of contact.

Things to Consider

  • Required User Permissions: 
    • 'Standard' and above on the Project level Inspections tool.
    • 'Standard' and above on the Project level Observations tool.
  • You will need to have the Observations tool enabled on your project to see the Create Observation button. Contact your Procore point of contact to request Observations on your account.
  • You may also Create an Observation from the Observations tool.

Steps 

  1. Tap the project you would like to work in on your mobile device.
  2. Tap the Inspections tool.
  3. Tap the desired inspection.
  4. Tap the Checklist subtab in the inspection.
  5. Scroll to the relevant inspection task by dragging your finger from the bottom to the top of the screen.
  6. Tap the inspection item you would like to create an observation from.
  7. Click Create Observation.
  8. Create your observation by filling in the information in the new window.
    • Title:  Title the observation to announce the general topic. This will be automatically populated with the inspection task name.
    • Due Date: By default, the due date will be set with 7 days after the observation was created. This field is editable on the create and edit pages of the observation, and the default due date is editable on the configuration settings.
    • Status: Set the status of the observation.
      • Initiated:  When you create the observation, it will be set to "initiated." This means that the observation has been established in Procore and is awaiting the assignee to respond.
      • Ready for Review: Once the assignee has acted upon the observation (whether by fixing the deficiency, by addressing the safety issue, etc.), he or she will respond to the observation by changing the status to "Ready for Review." This notifies the creator via email that the observation is ready for the creator to review.
      • Not Accepted: Once the creator has reviewed the work, he or she might mark it as "Not Accepted." This means that the creator has deemed the work as not resolved. The observation is put back into the assignee's court. 
      • Closed: Once the creator has reviewed the work, he or she might mark it as "Closed." This means that the creator has deemed the work as resolved and approved, and has closed out the item.
    • Type: Choose the type that best categorizes the observation. The type will help you filter and report based on the type of observation. It will not have any affect on which fields will appear when creating an observation. See What are the default Observation types used for?
    • Trade: Select the relevant trade for this observation. It signifies which trade is involved in resolving the observation. Trades are set at the company level admin tab under trade configuration. See Add or Delete Trades.
    • Location: Select the location the observation is found in. This will be automatically populated with the location from the inspection. How do I add a multi-tiered location to an item?
    • Assignee: Select the user who will complete the work required from the observation. This will be automatically be populated with the inspection's "point of contact."
      (Note: This user must have 'Standard' or 'Admin' permissions on the Observations tool to respond or be set as an assignee.)
    • Description: Add a description for the observation detailing relevant information needed to report on or complete the work.
    • Attachments: Tap one of the following options.
      • Choose from Library
        1. Tap the folder from which you would like to upload a photo.
        2. Tap each photo you would like up upload.
        3. Tap Done.
      • Choose from Procore
        1. Tap the album from the project's Photos tool that has the photo(s) you want to include on the inspection.
        2. Tap one or many photos to include.
        3. Tap OK in the top right.
      • Take photo
        1. Take the photo be positioning your device's camera, then tap the camera icon.
          • Tap the menu overflow icon (three vertical dots) to see the following options.
            • Tap the geotag button to turn geotagging off or on.
            • Tap the camera rotate icon to toggle between the front and back camera of your device.
            • Tap the clock icon to to turn time stamps on or off.
        2. Mark up the photo by using the photo markup toolbar, which is similar to the drawings markup toolbar.
        3. Tap Save.
      • Quick Snap
        1. Tap Quick Snap.
        2. Take the photo be positioning your device's camera, then tap the camera icon.
          • Tap the checkmark icon to exit and return to the inspection item.
          • Tap the menu overflow icon (three vertical dots) to see the following options.
            • Tap the geotag button to turn geotagging off or on.
            • Tap the camera rotate icon to toggle between the front and back camera of your device.
            • Tap the clock icon to to turn time stamps on or off.
  9. Click Save in the top right.
  10. The observation will now appear in the activity feed of the inspection task and the observation log of the Observations tool. A link to the inspection will appear on the view page of the observation.
