Respond to a Forwarded Submittal


To respond to a submittal that was forwarded to you for review by a member of the submittal workflow. 


When a user who has been defined as a member of a submittal workflow (see About Submittal Workflow) wants you to review a submittal before he or she submits a response (i.e., approve, reject, etc.), that user has the option to forward the submittal to you for review. This gives the individual responsible for taking the next action an opportunity to ensure that the submittal is reviewed by key individuals with specialized knowledge. It also helps to ensure that a response from all key decision makers has been captured in the Procore application, to ensure that your project team keeps an accurate audit trail of all submittal approvals. 

If user forwards a submittal to you for review, you are automatically added to the submittal workflow and also designated as the Ball in Court person on the submittal. The Ball in Court person is then required to take action (i.e., approve or reject the submittal) using the steps below.  After his or her response is submitted, the Ball in Court person returns to the individual who forwarded the submittal to you so he or she can respond. 

Things to Consider

  • Required User Permissions:
    • To be added to a submittal's workflow as a reviewer, 'Standard' or 'Admin' level permissions to the Submittals tool.
    • To view a submittal, 'Standard' or 'Admin' level permissions to the Project level Submittals tool.
  • The Forward for Review link is only visible and available to users when these conditions are true:
  • Limitations:
    • The Forward for Review link is not available when package workflow is enabled.


  1. Choose one of these options:
    • Navigate to the Project level Submittals tool, locate the submittal that was forwarded to you, and then click the View button. 
    • Navigate to the Project Home page, locate the submittal in the My Open Items area, and then click the submittal to view it. 
  2. Review the forwarded submittal in its entirety. 
  3. Select a response (see What are the default submittal responses in Procore?), provide a comment, and add any applicable attachments.

    If your company has created custom submittal responses for use with the project's Submittals tool (see Create Custom Submittals Responses), the responses have been customized to fit the specific needs of your organization. See your company's Procore Administrator or the Submittals Manager for information about the proper use for each response on your project.

  4. Click Submit.
    Note:  Procore sends an email to the user who forwarded the submittal to you to notify them of your response. In addition, the submittal is automatically updated to reflect that they are now the Ball in Court person on the submittal.
