Apply Markup and Add a Stamp to PDF Attachments in a Submittal

To apply markup and a custom company stamp to the PDF attachments in a submittal.


The integrated PDF markup feature in the project's Submittals tool give users the ability to use editing markup tools on any PDF that has been attached to a submittal. the markup feature also lets authorize project users upload a customized submittal stamp, which construction can then be applied to shop drawings and other documents that are attached to the submittal to ensure that the drawing or document is in compliance with the contract documents. 

Things to Consider

  • Required User Permissions:
    • 'Standard' level permissions or higher on the Submittals tool with the current Ball-In-Court responsibility in the Submittal Workflow
  • Additional Information:
    • If you want to add a stamp for use with the markup tool, you must upload it first. See Add a Custom Company Stamp for PDF Attachments in a Submittal.
    • Any user who has been granted permission to view the submittal will also have permission to view the PDF attachments.
    • If two users markup a submittal at the same time, both user's markups will be saved. However, the users will not be able to see another user's changes in the live window. To see another user's changes, close the PDF and then view the markup at a later time.

  1. Navigate to the project's Submittals tool. 
  2. Locate the submittal to apply markup to. Then click View.
  3. Scroll to the Attachments field and click the attachment to apply markup to.
  4. Click the PDF attachment to open it. 
  5. Use the available markup tools to apply markup or add your project's customized submittal stamp.

    • To select multiple items drawn with markup tools, hold down the SHIFT key and click to select the markup item.
    • If you are a user with 'Admin' level permission and want to insert a blank cover page to the PDF attachment when the submittal is in the Draft or Open status, click the arrow in the center of the markup toolbar to open the page navigator. Then click +Page. You can only add one (1) page per attachment. In addition, pages cannot be removed. 

      The table below details the buttons and keyboard shortcuts available with the markup toolbar.

      The pinch-to-zoom motion on a touchpad and scroll wheel zooming your mouse is also supported.

      - Left Arrow Press ◅ Press the left arrow key (◅) to move to the previous page.
      - Right Arrow Press ▻ Press the right arrow key (▻) to move to the next page.
      - Delete Press DELETE Press the DELETE key to remove the object.
  6. Close the attachment viewer.
  7. Markups are automatically saved. The illustration below shows you the Attachments area in a submittal when markups have been applied.
