Search for and Filter Scheduled Tasks

Objective

To search and filter for scheduled tasks.

Things to Consider

  • Required User Permissions:
    • 'Read Only' or higher permissions on the project's Schedules tool. 
  • Additional Information:
    • The Search bar is not available when viewing the schedule in the Gantt view.
    • Tasks are read-only calendar events that are defined in an integrated project scheduled (e.g. MS Project, Primavera P6, etc.).
    • To Dos are calendar items that are added to the schedule using Procore. 

Steps

Search for Scheduled Tasks

  1. Navigate to the project's Schedule tool.
  2. Click the All, Day, Week, or Month view.  
    Note: Search is not available in the Gantt view. 
  3. Type a keyword or phrase in the Search bar.
    The following fields are searched for the specified keyword terms:
    • Task name
    • Resource name
    • Activity ID
  4. Click Search.
    Note: You will see a list of any scheduled tasks that meet your search requirements.

Filter Scheduled Tasks

  1. Navigate to the project's Schedule tool.
  2. Click the All, Day, Week, or Month view. 
  3. In the Add Filters menu, you have these filter options:
    • Resource: If you had set resources for tasks, you can select a resource to filter by.
    • Person: Select a person to filter by tasks they are listed on.
    • Is Milestone: Mark this checkbox if you would only like to view project milestones.
    • Summary Tasks: Select summary tasks to filter events by.
    • Display Summary Tasks: Mark this checkbox if you would like the filter results to display summary tasks.
    • Date: Select a date to see tasks that happened on that date.
  4. Click Filter.
    Note: To navigate out of the filtered calendar view, click Reset.

Filter the Gantt View

  1. Navigate to the project's Schedule tool.
  2. Click Gantt to open the Gantt chart view. 
  3. Click Add Filter
  4. Choose from the following options:
    • Date Range
    • Resource
    • Critical Tasks
    • Summary Tasks
    • Completed Tasks
    • Incomplete Tasks
