About the Project Archive Tool

Background

The data table in the project level Project Archive tool lists all of your project's archives. It also provides you with:

  • Control over the data table's column configurations. Optimize the tool's workspace by changing the width of the table's columns. You can also easily show and hide the columns of your choice, automatically size one or all columns, and pin columns to keep them in place on your page.

  • Powerful filtering capabilities to analyze your data. Apply filters to improve your ability to analyze your data. When applying a filter, Procore shows only the archives that meet your criteria and hides the ones that don't. You can then download your archive with the filters you've applied.

  • Streamlined viewing and navigation experience. A clean table layout provides you with the best possible viewing and navigation experience, so you don't have to spend your time jumping around to look at data.

The table below summarizes all the actions you can perform using the project level Project Archive tool.

Archives Lists all of the archives in your Procore project. 
Create Button Create new extracts for your project. You can create multiple extracts for a project. See Create a Project Archive.
Search Archives Search for keywords of archive names in the search bar.
Apply Filters Apply filter options to your archives table. See Configure Filters for Project Archives
Table Settings Click the icon-ag-grid-table-filter.png Configure button to open a pane on the right side of the table where you can manage column display. See Configure Columns for Project Archives.
Edit Archives Edit an archive by clicking the hyperlinked name of the extract. See Edit a Project Archive.
Copy Archives Copy an archive by clicking the icon-duplicate.png copy icon. See Copy a Project Archive.
Download Archives Download an archive as a ZIP file by clicking the icon-download-cloud.png download cloud icon. See Download a Project Archive.
Delete Archives Delete an archive by clicking the icon-delete-trash6.png trash bin icon. See Delete a Project Archive.

Edit a Project Archive

  1. Navigate to the project level Project Archive tool.

  2. Locate the desired archive in the list.

  3. Click the hyperlinked name of the archive.

     Note
    You can only edit archives with the 'Draft' status.
  4. Configure the following:

    • Name. Click the Icon Edit2 pencil icon to edit the name of the archive, and then click Save.

    • Settings. Click the Icon Settings Gear Grey3 gear icon to select any one of the following options, and then click Save.

      • Mark the Include Table of Contents checkbox to include a table of contents in the archive.

      • Unmark the Include Table of Contents checkbox to not include a table of contents in the archive.

    • Select Tools. Select one or more project level Procore tools.

      Note: To view tools, you must have 'Admin' level permissions or higher for the relevant tool.

  5. Click Save.

  6. Follow the relevant steps in Create a Project Archive for each of the selected tools.

Copy a Project Archive

  1. Navigate to the project level Project Archive tool.

  2. Locate the desired archive in the list.

  3. Click the Icon Duplicate copy icon for the corresponding archive.

    Note: You can edit the archive based on your requirements. See Edit a Project Archive.

     Note
    • You can copy archives with 'Partially Completed', 'Completed', 'Expired', 'Cancelled', and 'Failed' statuses.
    • When you copy an archive, a new archive named '[Archive Name] (copy)' will be created and set to 'Draft' status.

Delete a Project Archive

  1. Navigate to the project level Project Archive tool.

  2. Locate the desired archive in the list.

  3. Click the Icon Delete Trash6 trash icon for the corresponding archive.

     Note
    You can delete archives with a 'Draft', 'Cancelling', 'Cancelled', 'Completed', 'Partially Completed', 'Failed', or 'Expired' status.
