New Granular Permission Settings to Allow 'Standard' Users to Create and/or Add Users to a Project

Overview

On Wednesday, June 21, 2017, Procore enabled the granular permissions feature for all Procore clients. This gives Procore Administrators the ability to assign granular task privileges to new permission templates created in the Company Directory. In addition to this update, two (2) new granular permission settings are scheduled for release on Wednesday, June 28, 2017:

If your company has previously created a permission template that is currently allowing users with 'Standard' level permission to add users to the Project Directory (see Allow a Standard User to Add a Person and Company to the Project Directory), please be aware that Procore will be adding two new granular permission settings for the Directory tool on Wednesday, June 28, 2017:

  • 'Add from Company Directory (Assignable Permission Templates Only)'
    This new checkbox will be enabled by default on all affected templates on Wednesday, June 28, 2017.
  • 'Create and Edit Users (Assignable Permission Templates Only)'.
    This new checkbox will be also become available. If you would like to enable the permissions associated with this setting, you must explicitly enable it in your template after the release on Wednesday, June 28, 2017.

Summary of the Change

Prior to the upcoming June 28, 2017 activation of the new granular permission settings for the Directory tool, your company's Procore Administrator had the ability to delegate the authority for creating/adding users to a Project Directory to a user with 'Standard' level permission. This gave the user with 'Standard' level permission the ability to:

  • Create new Procore users in a Project Directory. 
  • Add existing Procore users from the Company Directory into a Project Directory. 
  • Associate one (1) assignable permission template with the user being created or added. 
  • Edit any users that he or she created.

After the release on June 28, 2017, your company's Procore Administrator will continue to retain the ability to delegate the authority for creating/adding users to a Project Directory to users with 'Standard' level permission. However, Procore Administrators will now be required to explicitly define the precise permissions that are available to users with 'Standard' level permission to the Project Directory (see After the Change: New Configuration Steps below). This requirement will provide your organization with the following benefits:

  • Enhanced ability to effectively manage user permissions in the Project Directory. 
  • Improved security that prevents 'Standard' users from creating and managing user accounts with higher levels of permissions. For example, you will now be able to prevent a user with 'Standard' level permission from creating a new user on a project with 'Admin' level permission to the Directory tool. 
  • Ability to implement future Granular Permission enhancements planned for other Procore tools. 

Before the Change: Configuration Steps

The steps below detail how a Procore Administrator could grant users with 'Standard' level permission on the project's Directory tool the ability to add other users to the directory.

  1. Navigate to the company's Directory tool.
    This revealed the Company Directory page. 
  2. Click the Configure Settings  link.
    This revealed the Company Settings page.
  3. In the Permissions Templates page, click Edit next to the permission template to modify.
    This placed the template in edit mode. 
  4. Delegate the authority to create or add new users to a Procore project as follows: 
    1. Under the 'Users with this template...' label, add one (1) or more assignable permission template to the permission template.

    2. Next to the Directory tool, click the 'Standard' column until a GREEN checkmark appears.
      This provides users associated with the template on a project with 'Standard' level permission on that project's Directory tool.
  5. Click Update.
    This saves the new permission settings and the changes go into effect for all users associated with that template. 

After the Change: New Configuration Steps

If your company has created a permission template that is currently allowing users with 'Standard' level permission to add users to the Project Directory, the 'Add from Company Directory (Assignable Permission Templates Only)' checkbox will be enabled by default on Wednesday, June 28, 2017.
Important! If you would like users to have the ability to create and edit users on a project, you must explicitly enable the 'Create and Edit Users (Assignable Permission Templates Only)' option after the Wednesday, June 28, 2017 release.

  1. Navigate to the company's Directory tool.
    This reveals the 'Company Directory' page. 
  2. Click the Configure Settings  icon.
    This reveals the 'Company Settings' page. 
  3. In the Permission Templates for list, select one of the following:
  4. Click Edit.
    This places the selected template into edit mode.
  5. For the Directory tool, mark one (1) or more of the following checkboxes in the Granular Permissions area:


     
    • Add from Company Directory (Assignable Permission Templates Only). Mark this checkbox to enable the 'Bulk Add from Co. Directory' button in the Project Directory tool. This provides the user(s) associated with this permission template with the ability to add one or more existing users from the Company Directory to a Project Directory. It also allows users to choose from these options at the time a user is added to a project: (1) Apply an assignable permission template to one or more users (if at least one template is specified), (2) Apply the default permission template to one or more users, and (3) Select the 'Do Not Apply a Permission Template' option.       (Notes:

      • Users associated with this granular permission will neither be permitted to create new users in the Project Directory, nor edit users added to the Project Directory, including the users that they add to a project.
      • Users will also NOT be permitted to change permission template assignments after adding one or more users). 
         
    • Create and Edit Users (Assignable Permission Templates Only). Mark this checkbox to enable the 'Add Person' button in the Project Directory tool. This permission provides the user(s) associated with the permission template with the ability to create new users in the Project Directory and edit existing users in the Project Directory. It also allows users to choose from these options at the time a user is added to a project: (1) Apply an assignable permission template to one or more users (if at least one assignable template is specified), (2) Apply the default permission template to one or more users, and (3) Select the 'Do Not Apply a Permission Template' option. Users will also have the ability to remove users from a project (Note: Users will NOT be permitted to change permission template assignments after adding one or more users). 

    • Create and Edit Vendors. Mark this checkbox to enable the Add Company button in the Project Directory tool. This permission provides the user(s) associated with the template on a project with the ability to create new vendor records and edit existing ones in the Project Directory.     • Create and Edit Distribution Groups. Mark this checkbox to enable the Add Distribution Group button in the Project Directory tool. This permission provides the user(s) associated with the permission template on a project with the ability to create new distribution groups and edit ones in the Project Directory.   6. Click Update
    The system saves your changes to the selected permission template.
