Set the Default Company Bidding Configuration
Objective
To set the configuration for your project's Bidding tool at the Company level.
Background
If you set the configuration for the Bidding tool at the Company level, the configuration settings that you define will be used on all new projects. If you want to edit the configuration for a specific project, see Edit Project Bidding Configuration.
Things to Consider
- Required User Permissions:
- 'Admin' level permissions to the Company level Admin tool.
- Prerequisites:
- The Bidding tool must be an active tab at least one (1) project in your company account.
Steps
- Navigate to the Company level Admin tool.
- Under 'Tool Settings', click Bidding.
- Complete the following information:
- Project Updates. Check the box if you would like updated settings to be applied to project templates, project admin settings and new bid packages. If unchecked, updates to these settings will not be applied.
- Office Location on Bid Communications. The selected office location will appear in bid invitation emails and on the attached bid document logs.
- Project Information. Enter the text that you want to appear in the bidding invitation emails sent from your company account.
The following text appears by default:
[Your Company Name] would like to invite you to participate in the bidding process for this construction project by utilizing our Construction Project Management Software, “Procore.” Procore helps to streamline the bidding process by allowing bid invitee’s to download relevant bidding documents and submit their bids electronically. In this system, all electronic correspondence is tracked and archived, and bidders are provided with the most up to date information available for the project. We feel that this tool will simplify the bidding process for your project team by cutting down on the amount of filing and paperwork that typically accompanies bid management.
- Bidding Instructions. Enter the text that you want to appear as the bidding instructions.
The following text appears by default:
If you need assistance accessing the bidding documents, please email Procore's customer support department at support@procore.com, and one of their support representatives will provide you with assistance. [Your Company Name] looks forward to the opportunity to work with your project team in our new bidding process.
- Bid Submission Confirmation Message. Enter the text that you want a bidder to see after they submit their bid.
Bidders will see this message after submitting a bid in Planroom.
- Send Bid Documents From. Select Company or Project Office.
- Update Configuration for All Projects. Place a checkmark in this box to update your new bidding configuration settings to all of the projects in your company account.
- Changes are saved automatically.
Note: These settings will apply any updated text to all future bid emails sent. See Create a Bid Package for an example of how the text in the bid invitation email will appear in your bid invitation email.
