Improved People & Company Import Templates for the Directory Tools

Procore has improved the Microsoft Excel version (XLSX) of the user import template for the Company and Project level Directory tool. In addition, Procore is now also providing an XLSX version of the vendor import template. 

This update will move existing columns so that required data entry now appears at the beginning of its Add Data Here worksheets. In addition, the templates include data validation improvements designed to help guide you through the data entry process. The new templates are now available for download directly from the Company and Project level Directory tool.

Why is this important?

To help eliminate common data entry issues that lead to import failure (e.g., users adding columns to the template, users changing column names, and users entering invalid data), Procore has updated the import template as follows:

  • Data entry is automatically validated. To ensure that your data entry complies with the Procore import rules, this template automatically validates your entries. When data entry is required, recommended, or optional, cells missing data are highlighted in light RED or ORANGE. 
  • Locks prevent users from making common changes that result in import failure. To ensure that the import template's structure remains in compliance with Procore's import rules (e.g., column headings and titles), the worksheets and template are locked. The locks prevent you from changing critical data, while allowing you to enter data in the appropriate cells and rows on the appropriate worksheet.

For the user import template, we've made the following improvements:

  • New Columns for Adding Your Company's Employees.
    We've added the 'is_employee_of' and 'employee_id' columns to the template. 
     
  • Moved Required Columns Together.
    We've moved the minimum required data entry cells together. When a column's heading appears in RED, this means you must enter data in the cells that correspond to those columns (e.g., first_name, last_name, email_address, and default_permission_template). 
     
  • Added Data Validation.
    When you start entering row data in a cell, the worksheet now highlights your required data entry.

For the vendor import template, we've made the following improvements:

    When you start entering row data in a cell, the worksheet now highlights your required data entry. 
     
  • New Cost Code Column for ERP Integrations
    For customers that have enabled the Company level ERP Integrations tool, you can now specify one of the supported ERP integrations (e.g., Sage 300 CRE®, QuickBooks® Desktop, or Timberline (this is for legacy Timberline customers only) on the Instructions tab. This adds the appropriate column heading to column 'AI' in the Add Data Here worksheet.
