Configure Advanced Settings: ERP Integrations for QuickBooks

Objective

To configure the settings for the ERP Integrations tool for QuickBooks. 

Things to Consider

Steps

  1. Navigate to the company's ERP Integrations tool. 
    This opens the QuickBooks Integration page. 
  2. Click  Configure Settings .
    This opens the Integrations Setting page. 
  3. Under Connection Settings, update the QuickBooks service connection for Procore:
    • Service URL. Enter the URL for the QuickBooks microservice. 
    • Service User. Enter the username for the QuickBooks microservice account.
    • Edit Credentials. Click this link to reveal the Service Password box. Enter the new password for your QuickBooks Microservice Account here or click Cancel to keep the current password. 
    • Status. Shows the current status of the service connection. The statuses are 'Connected' and 'Not Connected.' 
  4. Under General Settings do the following:
    • Use Procore Contract #.
      If you want the system to automatically populate the Procore commitment contract number to the QuickBooks ID field, place a checkmark in this box. Users can edit the QuickBooks ID as needed. If you leave this checkbox blank, the user will be required to manually enter the QuickBooks ID.
    • Automatically Add New Cost Codes to Budgets on QuickBooks-Integrated Projects.
      Mark this checkbox so any new cost codes created in QuickBooks will be automatically imported into Procore as new budget line items (e.g., if the cost codes do NOT exist in the Budgets tool). 
    • Procore's Budget Direct Cost Columns.
      Choose between these options:
      • Read Only, Populate From QuickBooks. Choose this option if you want the data in the 'Direct Cost' column in the project's Budget tool to be Read-Only and populated with data from QuickBooks. 
        OR
      • Editable, Do Not Populate From QuickBooks. Choose this option if you want the data in the 'Direct Cost' column in the project's Budget tool to be editable and populated with data from the Direct Costs tool in Procore.
        (Notes:
        • If the Direct Costs tool is an active tab on the project, data will always be editable and populated from the Direct Costs tool.
        • If you want to hide the 'Job To Date Costs' column in the Budget tool, mark the Hide Job To Date Costs Column on the Budget box). 
    • Vendors will be Automatically Updated. Choose between these options:
      • Automatically Update Vendors when Refreshing the Vendor List. When a vendor is updated in QuickBooks, the vendor data will also be refreshed in Procore. 
        OR
      • Do Not Update Vendors. When a vendor is updated in QuickBooks, the vendor data will NOT be refreshed in Procore. 
    • Invoice Retainage Cost Code. This setting will be configured for you by your Procore point of contact during the implementation process.  It specifies the cost code that they system uses to assign a retainage value to invoices exported to QuickBooks.
  5. Click Update.
    This saves the updated integration settings.
