Sync the Documents Tool with the Procore + Box Sync Integration

Objective

To perform one- or two-way syncing between the project's Documents tool and a linked Box account with the Procore + Box Sync integration.

Background

This article shows you how to sync the project's Documents tool to a linked Box account using the Procore + Box Sync integration. WithProcore + Box Sync, you can set up one-way or two-way data continuous syncing between a project's Documents tool in Procore and a designated project folder in the integrated Box account: 

  • One-Way Syncing. You can add, change, and delete files in Procore's Documents tool. When you add, change, or delete a file in Procore, the same is then done in Box. Any changes made to files in Box do NOT affect files in Procore. When a change is detected in Procore, it is synced to Box.  
    OR
  • Two-Way Syncing. You are permitted to add, change, and delete files in either Procore or Box. The integration always looks for the newest version of a file in both systems, and when a change is detected in either system, the data is synced.

Things to Consider

  • Required User Permission:
    • 'Standard' or 'Admin' permissions on the projects Documents tool.
  • Prerequisites:
    • A user with 'Admin' level permission on the project's Documents tool must complete the following:
      • Submit a request to enable the Procore + Box Sync integration on your company account.
      • Create at least one (1) folder in the Box account that you plan to link to Procore. This folder must be dedicated for use with the Procore project. See Box's Help system for instructions. 
      • After the integration is enabled by your company's Procore point of contact, complete the steps in Configure the Procore + Box Sync Integration.  

Steps

Perform One-Way Syncing

  1. Ensure that a user with 'Admin' permission has configured the project's Documents tool for one-way syncing with Box. See Configure the Procore + Box Sync Integration
  2. Navigate to the projects Documents tool. 
    This reveals the Documents page. 
    When a folder has been configured for the Procore + Box Sync integration, it appears BLUE in the Documents folder area:


     
  3. Choose from these options to automatically sync the file in Procore with the linked Box account:
    • Upload a new version of an existing document. See Upload a New Version of a File. This syncs the new version of the file to Box. 
    • Upload files into a folder. See Upload Files into a Folder.  This adds the new file(s) to Box. 
    • Delete Files/Folders. See Delete Files/Folders. This removes the file(s)/folder(s) from Box. 
      Note: A spinning progress indicator on the folder icon indicates that one-way syncing is in progress. 

Perform Two-Way Syncing

  1. Ensure that a user with 'Admin' permission has configured the project's Documents tool for two-way syncing with Box. See Configure the Procore + Box Sync Integration
  2. Navigate to the project's Documents tool. 
    This reveals the Documents page. 
    When a folder has been configured for the Procore + Box Sync integration, it appears BLUE in the Documents folder area:


     
  3. Make the desired document changes in Procore or Box. The changes made in one system are automatically synced to the other system. 
    Note: A spinning progress indicator on the folder icon indicates that two-way syncing is in progress.
