Integration by Ryvit: Import a Viewpoint® Vista™ Vendor Record to Procore
Objective
To use the Integration by Ryvit to import an 'active' vendor record from Viewpoint® Vista™ in order to add a new company record in Procore's Directory tool.
Background
When Procore is connected to Viewpoint® Vista™ using the Integration by Ryvit, you will typically first need to ensure that the existing 'active' vendor records in Viewpoint® Vista™ are linked to its appropriate counterpart in Procore (i.e., an existing company record in Procore's Company Directory). See Link Vendors to Companies for the Integration by Ryvit.
Once existing records are linked, you will also want to determine if there are any vendor records that only exist in Viewpoint® Vista™. When that is true, you can use the steps below to import those vendor records into Procore, in order to create a new corresponding company record in Procore's Company Directory.
Notes:
- If your project team is planning to enter all new vendor records in Viewpoint® Vista™ during your project, your team will also need to follow the steps below to add those new vendor records as new company records in Procore's Company Directory.
- If you want to learn more about consolidating and linking vendors between the two systems, see Integration by Ryvit: Consolidate and Link Viewpoint® Vista™ Vendors and Procore Company Records.
Things to Consider
- Required User Permission:
- 'Admin' level permission on the company's Directory tool.
- Prerequisites:
- Important! Before using the steps below, always check the Company Directory to confirm that matching company record does NOT already exist in Procore. If you do not perform this check, you might end up with duplicate or unlinked vendor/company entries. See Integration by Ryvit: Link Viewpoint® Vista™ Vendors and Procore Company Records.
- Additional Information:
- When Procore is connected to Viewpoint® Vista™ using the Integration by Ryvit, the vendor records in Viewpoint® Vista™ must be marked 'Active' in order for them to appear on the 'Ready to Import' page. Vendor records marked 'Inactive' will NOT be imported.
- New vendor records imported into Procore as new company records will automatically inherit the corresponding Viewpoint® Vista™ Vendor ID.
Steps
- Navigate to the company's ERP Integrations tool.
- Click the Vendors tab.
- Under Filters, click Ready to Import.
- Choose from these options:
- If you want to add the new vendor record in Viewpoint® Vista™ as a new company record in Procore, click Add to Procore. Then continue with the next step.
OR - If you want to link an existing vendor record in Viewpoint® Vista™ to an existing company record in Procore, see Integration by Ryvit: Link Viewpoint® Vista™ Vendors and Procore Company Records.
- If you want to add the new vendor record in Viewpoint® Vista™ as a new company record in Procore, click Add to Procore. Then continue with the next step.
- Repeat the above step for each vendor in the list.
When the Integration by Ryvit imports the Viewpoint® Vista™ vendor record into Procore, the record's company and insurance information is also imported.
