Integration by Ryvit: Configure Cost Code Preferences for Viewpoint® Vista™

How to configure your company's cost code preferences for Viewpoint® Vista™ when using the Integration by Ryvit.

Things to Consider

  • Required User Permission:
    • 'Admin' level permission to the company's Admin tool.
  • Additional Information:
    • Because integrated ERP systems (e.g., Integration by Procore: Viewpoint® Spectrum®, Integration by Ryvit: Viewpoint® Vista™, QuickBooks®, Sage 100 Contractor®, or Sage 300 CRE®) do NOT support cost code divisions, you must add a division for your cost codes to Procore.

  1. Navigate to the company's Admin tool.
This reveals the Company Settings page.
  2. Under Project Settings, click Cost Codes.
Note: "Cost Codes" in Procore are equivalent to "Phase Codes" in Viewpoint® Vista™.
This reveals the Viewpoint® Vista™ Standard Costs Code Lists page.
  3. In the Standard Cost Code Lists page, mark the  Available for Use On New Project checkbox to define which cost code list(s) you want to make available on new projects:
    • Viewpoint® Vista™ Standard Cost Codes
If you will be using the Integration by Ryvit to connect at least one (1) project in your company's Procore account to a job in Viewpoint® Vista™, place a checkmark in this box. This setting allows new Procore projects to use your Viewpoint® Vista™ Standard Cost Code list.
      • If you want to view the codes on this list, click View to open the Integration by Ryvit Standard Cost Codes page.
      • If you will be integrating one (1) or more projects with Integration by Ryvit, you should always enable this option. These cost codes can only be modified in Integration by Ryvit, so you will notice that when you click a cost code, the Edit button at the top of the cost code tree is grayed out an unavailable.
      • If a cost code was archived, you cannot add it to a project unless you first unarchive it. See How do I archive and unarchive a cost code?
      • If you want to edit a Division, click one of the gray folders in the cost code tree. Then click Edit. This opens the Edit Code window where you can change the value in the Description field and click Update.  Because the Division concept is only relevant to Procore, updates only affect the formatting of your cost codes in Procore. Divisions have NO effect on your cost codes in Integration by Ryvit.
      • After reviewing the codes, you can click the Cost Codes link under Project Settings in the right pane to return to the Standard Cost Code Lists page.
    • Standard Cost Codes List
If you will NOT be using the Integration by Ryvit to connect projects with Viewpoint® Vista™, place a checkmark in this box to allow new Procore projects to use the Standard Cost Code list. Remove the checkmark if you do not want to use the Standard Cost Code list on your company account's new projects.
      • Projects using the Standard Cost Code List cannot be integrated with the Integration by Ryvit.
      • The Standard Cost Code list can either be the default list that is included with Procore or a custom cost code list that was imported for your company. See Import Cost Codes to Procore.
  4. Click Update.
This makes the selected cost code list available for use on new projects.
