Integration by Procore: Configure Advanced Settings: ERP Integrations for Viewpoint® Spectrum®

Objective

To configure the advanced settings for the company's ERP Integrations tool to connect to Viewpoint® Spectrum® with Integration by Procore.

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the company's ERP Integrations tool. 

Steps

Configure Settings

  1. Navigate to the company's ERP Integrations tool. 
  2. Click Configure Settings icons-settings-gear.png.
    • Under the 'Connection Settings' area you can update the Integration by Procore settings:
      • Service URL. Enter the URL for the Integration by Procore Microservice. 
      • Service User. Enter the user name for the Integration by Procore Microservice.
      • Edit Credentials. Click this link to reveal the Service Password box. Enter the new password for your Integration by Procore Microservice Account here or click Cancel to keep the current password. 
      • Status. Shows the current status of the service connection. The statuses are 'Connected' and 'Not Connected.' 
    • Under the 'General Settings' area:
      • Use Procore Contract #
        Mark this checkbox to automatically populate the Procore Contract # in the Viewpoint® Spectrum® ID field when the system exports commitments in Procore to Viewpoint® Spectrum®. 
      • Use Procore Change Order #
        Mark this checkbox to automatically populate the Procre Contract # in the Viewpoint® Spectrum® ID field when the system exports change orders in Procore to Viewpoint® Spectrum®. 
      • Automatically Add New Cost Code/Category Combinations to Budgets on Viewpoint® Spectrum®-Integrated Projects.
        Mark this checkbox to have Procore automatically add the cost code/category combo as a new budget line item. 
      • Procore's Budget Direct Costs Column. 
        If you want to populate the Direct Costs column with data from Viewpoint® Spectrum® the Read Only, Populate from Viewpoint® Spectrum® checkbox. Or, mark the Editable Do Not Populate from Viewpoint® Spectrum® checkbox. 
      • Vendors will be Automatically Updated. 
        Mark either the Automatically Update Vendors when Refreshing the Vendor List checkbox or the Do Not Update Vendors checkbox. 
  3. Click Update.

Configure the Vendor Type Import Settings

  1. Navigate to the company's ERP Integrations tool.
  2. Click Configure Settings icons-settings-gear.png
  3. Click Vendor Type Import Settings.


     
  4. Mark the checkboxes the correspond to the desired Vendor Types.
    Notes:
    • Vendor Types are created in Viewpoint® Spectrum® to give accountants the ability to classify your vendor information in a way that is meaningful to your business.
    • When a checkbox is dimmed, the import filter cannot be cleared because data has already been synced with Procore.

View an Accountant Report

  1. Navigate to the company's ERP Integrations tool. 
    This reveals the Integration page.
  2. Click Configure Settings icons-settings-gear.png.
    This reveals the Integration Settings page. 
  3. Click Accountant Report.
    This reveals the 'Accountants in Procore' list which shows the Procore users who have been designated with the accounting approver role. See What is the accounting approver role?

Configure the Sync Schedule

  1. Navigate to the company's ERP Integrations tool.
  2. Click Configure Settings icons-settings-gear.png.
  3. Click the Sync Schedule link in the right pane.


     
  4. Under the Sync Schedule area, choose Hourly, Every 4 HoursDaily (this is the default setting), or Never from the corresponding drop-down list :
    • Sync Standard and Project Cost Codes and Project Job Costs. This automatically syncs the standard and/or project costs codes. It also syncs the project's job costs. 
    • Refresh Viewpoint® Spectrum® Vendor List. This automatically syncs the vendor list in Viewpoint® Spectrum® . 
    • Refresh Viewpoint® Spectrum® Job List.  This automatically syncs the job list in Viewpoint® Spectrum® 
  5. Click Update.

Set User Permissions

  1. Navigate to the company's ERP Integrations tool. 
    This reveals the Spectrum Integration page. 
  2. Click Permissions Table
    This reveals the 'User Permissions for ERP Integrations' list. 
  3. Modify permissions as follows:
    • If RED 'x' marks appear in multiple cells, the user's account is not associated with a permission template. You can modify the user's permission to the ERP Integrations tool by clicking in the column for the desired permission level
    • If GRAY 'x' marks appears in the cells, the user is either a Company level Directory Administrator or the user's permissions are controlled by a permission template. See Manage Permission Templates
