Custom RFI Fields

We have added new custom fields to the RFI tool for “Applies to MEPF Coord”, “Sub & Sub RFI#” and “Full Sheets Issued with Response”.  By adding these custom fields at the company level, this frees up the Custom Field 1 and Custom Field 2 for the project team to use for project-specific data fields. These fields are reportable.

 

Explanation of New Custom Fields

Applies to MEPF Coord

The purpose of this field, a simple check-box on the RFI form, is to track RFIs that pertain or relate to MEPF coordination.  When the project is one that is utilizing BIM for the purposes of 3D MEPF coordination, this box is particularly helpful for the BIM Coordinator and subcontractor modelers to be able to find RFIs that pertain to them.

Sub & Sub RFI#

The purpose of this field, a short text box, is to associate subcontractor RFIs and RFI numbers with the KAST RFI number in Procore.  While the best practice is to have subcontractors complete RFIs in Procore (and for KAST staff to re-write them to match our standards), we still often receive RFIs outside of Procore, or even have subcontractors uploading RFIs from their system as attachments to draft RFIs in ours.  This field allows for easier tracking for KAST, but also makes it easier for the subcontractor.

Full sheets issued with response

The purpose of this field, a short text box, is to list any full-size sheets that the A/E issued with their response(s).  it is becoming increasingly common for design teams to respond to RFIs with full sheets rather than simple sketches, which can create some risk for KAST when the designer has made changes on the sheet not specifically related to the RFI.  KAST standard is to slip-sheet this revised sheet into the current set, AFTER creating an overlay to evaluate any hidden changes, with a revision number of “RFI# XXX”, and issue a secondary RFI addressing those hidden changes, if any. 

Usage of Project-Specific Custom Fields

To access the project-specific customizable fields, follow the steps below.

  1. Discuss with your project team your use-case and applications for the custom fields
  2. You must have “admin” permissions on the RFI tool
  3. Log in to Procore, open the project, and navigate to the project RFI tool.

  1. Once there, click the gear icon in the upper left-hand corner to access the RFI settings

  1. Within the RFI settings, enter the text you would like to appear in the custom fields

  1. This text will then appear below the “Private” checkbox on the RFI form
