Close a Submittal

Objective

To change the status of a submittal to Closed using the Project level Submittals tool.

Background

After a submittal has been approved by all of the individuals who have been designated as approvers in the submittal's approval workflow, a user who has been assigned 'Admin' level permissions can mark the submittal as Closed. This indicates the submittal approval workflow is complete and/or requires no further action.

Things to Consider

  • Required User Permissions: 'Admin' level permissions on the Submittals tool.
  • The requirements for closing are different whether your company has enabled the Sequential Approval Workflow (this is the default setting) or Parallel Approval Workflow.
    (Warning: Users who have been assigned 'Admin' level permission to the Submittals tool have the ability to close a submittal before the approval workflow is complete. Before closing a submittal, it is important to ensure that the approval workflow is complete or that you have a valid reason for closing the submittal early.)
  • Mobile: Also supported on iOS and Android devices.

Steps

You can change a submittal's status to Closed from one of two possible locations--from the Submittals page or from the Edit page. 

Change the Status of a Submittal to Closed (from the Submittals page)

  1. Navigate to the project's Submittals tool.
  2. In the Submittals page, located the desired submittal. 
  3. Click the Status box and select a new status value from the list. 
    (Note: Your company's list may contain custom status values that were created for use on your projects. See Create a Custom Submittal Log Status.)

Change the Status of a Submittal to Closed (from the Edit page)

  1. Navigate to the project's Submittals tool.
  2. In the Submittals Log page, locate the desired submittal and click the Edit button.
  3. Click the drop-down Status list and select a new status from the list. For example, select Closed.
    (Note: Your company's list may contain custom status values that were created for use on your projects. See Create a Custom Submittal Log Status.)

  4. Edit any other information as needed.
  5. Choose one of these options:
    • If you want to save the submittal without sending an email notification to approvers and members of the distribution list, click Update.
      OR
    • If you want to send an email notification to approvers and members of the distribution list, click Update and Send Email(s).
