Edit a Change Order

Objective

To edit a change order.

Background

The Project level Change Orders tool was designed to provide you with quick access to your project's change orders:

  • The 'Prime Contracts' tab lists any prime contracts with change orders on your project.
  • The 'Commitments' tab list any purchase orders or subcontracts with change orders on your project. 

If you want to edit a change order, you can click its link in the 'Contract' or '#' column of either tab. This opens the contract in view mode in the appropriate Project Financials tool. 

Things to Consider

  • Required User Permissions:
    • To edit a Commitment Change Order (CCO), 'Admin' level permissions on the project's Commitments tool.
      OR
    • To edit a Client Contract Change Order, Prime Contract Change Order, or Funding Change Order, 'Admin' level permissions on the project's Client Contracts, Prime Contracts, or Funding tool.       AND
    • To gain access to view change orders in the project's Change Orders tool, you'll also need the permissions documented in View Change Orders
       Note

      User permissions for editing change orders are NOT managed by the project's Change Orders tool. Instead, the Change Orders tool is designed for users with 'Admin' level permissions on the Client Contracts, Prime Contracts, or Funding tool AND the project's Commitments tool. It allows authorized users to view and access change orders from one place. The settings below determine your ability to edit change orders:

      • Your user account's permissions on the project's Commitments and/or the Client Contracts, Prime Contracts, or Funding tool.
      • Your membership is on the 'Private' list on the specific contract or funding.
      • You also may not be able to edit certain fields, depending on the change order's status and/or other items associated with the change. To learn more, see Why can't I edit or delete an 'Approved' change order?

  • Additional Information:
    • When editing a change order you will be redirected to either the project's Prime Contracts tool or the Commitments tool.
    • You can also edit a change order from a prime contract, purchase order, or subcontract using the Change Orders tab under the Commitments and Prime Contracts tool. 
       Tip
      Need to edit a change order that is NOT the most recently approved? If so, find the most recently approved change order. Then, change each change order's status to 'Draft' and work backward until you locate the change order that you need to edit. If you are unable to edit a change order, see Why can't I edit or delete an 'Approved' change order?

Steps

Select the Change Order to Edit

  1. Navigate to the project's Change Orders tool.
  2. Click the Prime Contracts or Commitments tab.
  3. Locate the change order to edit. Then click View.
    This opens the purchase order, subcontract, or prime contract in the appropriate tool. 
  4. Follow the appropriate steps:

Edit a Commitment Change Order

Follow these steps to edit a change order for a purchase order or subcontract. 

  1. In the contract, click the Change Orders tab. 
  2. In the 'Commitment Change Orders' table, click the Edit button.

Edit a Prime Contract Change Order

Follow these steps to edit a change order for a prime contract. 

  1. In the change order, click the Edit button.
