A

 

Abbreviated Name

Abbreviated Name.  If you would like to create a shortened form for the business name, enter that here. In Procore, the abbreviated name will appear in places where the full name cannot be displayed. 
Note: There is a 10-character limit for this field.

Accounting Vendor ID

Accounting Vendor ID. If your company manages vendor accounts using the legacy integration with Sage Timberline, you can enter that vendor's ID number here.
Notes:

  • This field is only visible if your company's Procore point of contact has enabled a backend setting for the Procore + Sage Timberline integration.
  • If your company has enabled the ERP Integrations tool for Sage 300 CRE, this field is typically NOT enabled and NOT visible.
Active

Active. Mark this checkbox to designate that this person's record is active in the system. 

Add From Company Directory (Assignable Permission Templates Only)

Add from Company Directory (Assignable Permission Templates Only). Mark this checkbox to enable the 'Bulk Add from Co. Directory' button in the Project Directory tool. This provides the user(s) associated with this permission template with the ability to add one or more existing users from the Company Directory to a Project Directory. It also allows users to choose from these options at the time a user is added to a project: (1) Apply an assignable permission template to one or more users (if at least one template is specified), (2) Apply the default permission template to one or more users, and (3) Select the 'Do Not Apply a Permission Template' option. Notes:

  • Users associated with this granular permission will neither be permitted to create new users in the Project Directory, nor edit users added to the Project Directory, including the users that they add to a project.
  • Users will also NOT be permitted to change permission template assignments after adding one or more users. 
     
Additional Insured

Additional Insured. Add a free-text entry about any additional insured entities for the Certificate of Insurance (COI). 

Address (Company)

Address. Enter the business address (e.g., address and street name) for the company (e.g., 123 Main Street, 333 South 14th Avenue, and so on). 

Address (Person)

Address. Enter the business address for the person. 

Attachments

Attachments. If you want to add any file attachments, click Attach Files and then upload the desired files to Procore or move any files from your computer into the Drag-and-Drop File(s) area.

B

Billing Address is the Same as Shipping Address

Billing Address is the Same as Shipping Address. If the vendor/company uses the same address for both billing and shipping, place a mark in this checkbox. This overwrites the address in the 'Billing Information' fields (e.g., Address, City, Country/State, and ZIP) with the entries in the 'Shipping Information' fields. 

Billing Address

Address. Enter the billing address (e.g., address and street name) for the vendor/company (e.g., 123 Main Street, 333 South 14th Avenue, and so on). 

Billing Information

Billing Information. Enter the billing address for the vendor/company (e.g., Address, City, Country/State, and ZIP).

Business Fax

Business Fax. Enter the user's primary facsimile number using the NANP number format (e.g., 805-555-0100). How you enter the fax number here determines how it will appear in Procore.

Business Phone

Business Phone. Enter the primary telephone number in the NANP format (e.g., 805-555-0100). How you enter the phone number here determines how it will appear in Procore.

Cell Phone (Person)

Cell Phone. Enter the person's mobile phone number for business calls in the NANP format (e.g., 805-555-0100). How you enter the phone number here determines how it will appear in Procore.

City

City. Enter the full city name (e.g., Los Angeles, Santa Barbara, and so on) for the vendor/company address (Note: Always spell out the full city name and do NOT enter abbreviations). 

Clear Company

Clear Company. Click this link if you want to clear the data entry from the 'Company Information' fields. 

Company Name

Name. Enter the full legal business name for the company (i.e., subcontractor, vendor, or supplier). This is a required field.
Notes:

  • If you plan to export vendor records to an integrated ERP system, the 'Company Name' field has specific maximum character length limits that have been specified by each system's vendor (e.g., Integration by Procore: Viewpoint® Spectrum®, Integration by Ryvit: Viewpoint® Vista™, QuickBooks®, Sage 100 Contractor®, Sage 300 CRE®, etc.). For details, see What is the maximum character length for a 'Company Name' in the Directory tool?
  • Because your organization might work with a wide variety of vendors in diverse locations, the Company Directory does not require a unique 'Company Name' value. This is because two (2) vendors might share the same name, but be independently owned and operated in different locations (e.g., a subcontractor named 'AAA Plumbing' in California may be a separate business entity from the 'AAA Plumbing' in Arizona).
  • If you are responsible for adding companies to a Procore project, its important to be aware that when you add company records to a project, it can result in the appearance of 'duplicate' records for a single business entity in the Company Directory. Contract Signer

Contract Signer. If your company or project is configured to use the Procore + DocuSign integration, select the name of the user who will be responsible for signing contracts from this list. This person's email address will be added to DocuSign as a signature recipient for contracts in the Project level Commitments and Prime Contract tool, as well as for project change orders (i.e., Commitment Change Order, Prime Contract Change Order, and Prime Contract Potential Change Order).

Cost Codes: Import Template Entry

Enter one or more cost codes. Use a dash (-) to separate each tiered segment item on the 'Cost Code' segment and a pipe (|) symbol to separate each individual cost code entry. Always include a SPACE on either side of the pipe (|) symbol. 

Notes:
In Procore's WBS, the 'Cost Code' segment is a tiered segment in your budget code structure. In the import template, tiers within a segment must be delimited by a dash (-). Depending on your company's specific budget code structure, your cost code entries may be different than these examples:

  • If your company or project level 'Cost Code' segment has two (2) tiers, the first tier might represent a Division number (01) in the CSI MasterFormat. The second tier includes nested segment items with the 'Division', which are considered cost codes in the MasterFormat (000, 002, 010, and so on). Using this example, your cost code entry in the import template would look like: 01-000
  • If your 'Cost Code' segment has three (3) tiers, the first tier might represent the Division number (01) in the CSI MasterFormat, the second tier is a sub division (10), and the third tier is the cost code (010), so your cost code entry would look like: 01-10-010
  • If you want to enter multiple cost codes to associate with the company, separate each code with the pipe (|) symbol and be sure to include a single SPACE on either side of the pipe (|) symbol. For example: 01-000| 01-002| 01-010 or 01-10-000 | 01-10-002 | 01-10-010

Create and Edit Distribution Groups

Create and Edit Distribution Groups. Mark this checkbox to enable the Add Distribution Group button in the Project Directory tool. This permission provides the user(s) associated with the permission template on a project with the ability to create new distribution groups and edit ones in the Project Directory. See Add a Distribution Group in the Project Directory

Create and Edit Users (Assignable Permission Templates Only)

Create and Edit Users. Mark this checkbox to enable the 'Add User' button in the Project Directory tool. This permission provides the user(s) associated with the permission template with the ability to create new users in the Project Directory and edit existing users in the Project Directory. It also allows users to choose from these options at the time a user is added to a project: (1) Apply an assignable permission template to one or more users (if at least one assignable template is specified), (2) Apply the default permission template to one or more users, and (3) Select the 'Do Not Apply a Permission Template' option. Users will also have the ability to remove users from a project (Note: Users will NOT be permitted to change permission template assignments after adding one or more users). 

Create and Edit Vendors

Create and Edit Vendors. Mark this checkbox to enable the Add Company button in the Project Directory tool. This permission provides the user(s) associated with the template on a project with the ability to create new vendor records and edit existing ones in the Project Directory. Country

Country. Select the country name associated with the vendor/company address from the drop-down list.

DBA

DBA. Enter the Doing Business As name for the company. See Doing Business As.

Email Address (Company)

Email Address. Enter the full email address for the company (e.g., info@example.com).

Email Address (Person)

Email Address. Enter the full email address for the person (e.g., name@example.com). This is a required field. 

Entity Type

Entity Type. Depending on your country, select either Australian Business Number (ABN) or Employer Identification Number (EIN). Then type the identifying number in the box provided. 

flag-australia.png  The ABN option was designed for use by Procore customers in Australia. After a company and its ABN has been added to the Directory, the Verify ABN button is available to check the status of the ABN using the Australian Government's ABN Lookup system. For details, see How do I verify an Australian Business Number (ABN)?

Ext

Ext. If the user has a telephone extension, enter that in this box.

Fax

Fax. Enter the user's primary facsimile number using the NANP number format (e.g., 805-555-0100). How you enter the fax number here determines how it will appear in Procore.

First Name

First Name. Enter the person's first name.

Initials (Person)

Initials. Enter the person's initials. These initials will display for the user in various parts of Procore's user interface. 

Invoice Contacts

Invoice Contacts. Select the user account for the person you want to designate as the company's invoice contact for purchase orders and subcontracts. To appear as a selection in this list, the user account must be added to the 'Users' tab of the company's record in the Company Directory. See Add a User Account to the Company Directory. Important!  For important information about invoice contacts, see What is an invoice contact?

Job Title (Person)

Job Title. Enter the person's professional title.

Labor Union

Labor Union. Enter the full name of the labor union associated with the company (e.g., Sheet Metal Workers International Association, International Union of Painters and Allied Trades, etc.). 

Last Name

Last Name. Enter the person's surname. This is a required field. 

License Number

License Number. Enter the company's contractor's license (e.g., this is license number that has been issued to the vendor/company by the state's licensing agency or board). 

Logo

Logo. Click Upload Logo to add the vendor's logo to the company record. In the Select an Image to Upload window, click Choose File. Then select the desired and click Upload Photo

Notes

Notes. Type any additional information about the insurance.

Office Name

Office Name. Enter a name for the office location (e.g., ACME Los Angeles, ACME Manhattan, or ACME San Francisco, etc).

Permission Template

Permission Template. Select a permissions template from the list (e.g., select 'Subcontractor') or select 'Apply Permission Template Later'. You can choose a global permission template or a project specific permission template. For details, see Manage Project Permissions Templates. This is a required field. 

Phone

Phone. Enter the user's primary telephone number for the company using the NANP number format (e.g., 805-555-0100). How you enter the phone number here determines how it will appear in Procore.

Primary Contact

Primary Contact. Select the name of the primary contact for the company. For a name to appear as a selection in this list, the contact's user account must be added to the Company Directory. See Add a User Account to the Company Directory. In addition:

Procore Customer

Procore Customer. If the vendor is also a Procore customer, place a mark in this checkbox. 

Project Roles

Project Roles. Select a project role from this list. The selections in this list are created by your company's Procore Administrator. To learn how to create project roles to meet the needs of your organization, see Add a Custom Project Role.

Projects [Vendor Name] Belongs To

Projects [Vendor Name] Belongs To. Displays the names of the projects that contain this vendor/company record. 

Projects [Vendor Name] Does Not Belong To

Projects [Vendor Name] Does Not Belong To. Lists the names of the projects that do NOT contain this vendor/company record.

Ship & Bill To This Address

Ship & Bill To This Address. Choose from these options:

  • If the shipping and billing address for the office location are the same, leave a mark in this checkbox.
    OR
  • If the shipping and billing addresses for the office are different, remove the mark from this this checkbox and ensure the shipping address appears as desired. Then enter the billing address information in the spaces provided (e.g., Address, City, Country/State, and ZIP). 
Shipping Address

Address. Enter the shipping address (e.g., address and street name) for the vendor/company (e.g., 123 Main Street, 333 South 14th Avenue, and so on). 

Shipping Information

Shipping Information. Enter the shipping address for the vendor/company as desired (e.g., Address, City, Country/State, and ZIP).

State

State. Select the state associated with the vendor/company address from the drop-down list. 

Status

Status. Select one of Procore's default informational statuses from the drop-down list. See What are the default statuses for insurance in Procore?
Notes:

  • The default status setting when adding new insurance information is set to Compliant. However, it is up to the person performing the data entry to ensure that the status setting is accurate. When the insurance expires (based on the data entered in the 'Expiration Date' field), the status automatically changes to Non-Compliant. To change the status, see Update Expiring Insurance for a Vendor in the Company Directory.
  • Compliance and registration standards vary between countries, states, cities, and usage must always be governed by your organization's standards and requirements.
  • Changing a status at a later time will NOT trigger an email notification. Email notifications are only sent to the designated Insurance Manager when triggered by the Expiration Date. When insurance has expired, the status will automatically change to non-compliant. See Designate an Insurance Manager for Your Procore Company.

Tags/Keywords

Tags/Keywords. Enter any desired tags or keywords in this box. To understand how tags/keywords work in Procore, see How do I use Tags/Keywords in Procore?

Use Company Address

Use Company Address. Click this link to populate the Address, City, Country, State, ZIP, Business Phone, and Business Fax fields with the information that you added under 'Company Information.'

Upload Logo

Upload Logo. If you want to add a logo for the company account, click Upload Logo. In the 'Select an Image to Upload' window, click Choose File and select the desired image file. Then click Upload Photo
Note: Supported file formats are GIF, JPG, and PNG and the required image dimensions are 96 x 96 pixels. If you upload a larger image, you will be prompted to select a crop area. To finish the upload, click Crop & Save Image.

Website. Enter the website address in this field (e.g., www.example.com).

ZIP. Enter the five (5) digit ZIP code associated with the vendor/company address (Note: If your company prefers to use the complete 9-digit ZIP Code format, you can also enter the ZIP+4 code if desired).
