Edit and Add Company Cost Codes

Objective

To edit or add cost codes to the Company level Admin tool. 

Background

The Company and Project Level Admin tools include a 16 Division Cost Code Structure that aligns with the CSI MasterFormat. You can add, edit, or delete the codes on this list. 

Things to Consider

  • Required User Permissions: 'Admin' level permissions on the Company level Admin tool.
  • Before you edit or delete your companies cost codes, review Procore's default list of cost codes. See What are Procore's Default Cost Codes?
  • If you decide that you would like to import a whole new list, see Import Custom Cost Codes and Divisions, which will give you steps to bulk import a new set of cost codes and divisions.
  • If you would only like to edit or delete a few cost codes or divisions, see the steps below.

Steps

Edit Company Cost Codes

  1. Navigate to the company's Admin tool.
  2. Under Administrative Settings in the right pane, click Cost Codes.
  3. Choose from these options:
    • Edit an Existing Code or Division
      1. Highlight the code or division. 
      2. Click Edit
      3. Change the Code and/or Division entry.
        Note: All division and cost codes must have a unique number. Duplicate codes are not permitted. 
      4. Click Update
    • Delete an Existing Code or Division
      1. Highlight the code or division. 
      2. Click Delete
      3. At the confirmation dialog box, click OK to confirm the delete action.  

Add Company Cost Codes

  1. Navigate to the company's Admin tool.
  2. Under Administrative Settings in the right pane, click Cost Codes.
  3. Choose from these options:

Add a New Division

  1. Expand the project's folder (e.g., Nelson General Contractors).
  2. Click Add Division.


     
  3. In the 'Add Division' window, enter a Code (e.g., 18) and Description (e.g., Lighting).


     
  4. Click Create.
    This adds the new division to the list. 

Add a New Code to a Division

  1. Highlight the desired Division (e.g., 18 Lighting). 
  2. Click Add Code.


     
  3. In the 'Add to' window, enter a Code and Description.


     
  4. Click Create.
    This adds the new code to the selected division.

Transform a Code into a Subdivision

  1. Highlight an existing Code within an existing Division (e.g., highlight the 050 Outdoor code in the 18 Lighting division). 


     
  2. Click Add Code.


     
  3. In the 'Add Division' window, enter a new Code and Description (e.g., 40 Transformers).
  4. Click Create.
    This transforms the existing code (e.g., 050 Outdoor) into a subdivision and then places a new code (e.g., 40 Transformers) into the subdivision as shown below.
