Set Required Responses for Submittal Workflow

Procore has released a new feature related to the submittal workflow. Now, you can designate the users from whom a required response is needed. This lets you specify which user in a parallel approval group must respond to a submittal before Ball In Court responsibility is shifted to the next submittal workflow group. 

Why is this important?

After the rollout of the new submittal workflow earlier this month (see Submittals: Rollout of New Submittal Workflow for Approvers), Procore users wanted the ability to create parallel approval groups on a submittal workflow. However, they also wanted to designate final approval authority to only one or two key members of a group.

How does it work?

Now, when you add a user to a workflow, that user's response is required by default. To make a users response optional, remove the mark from that user's checkbox. When you have one (1) or more user's marked as required responses, all of those required users must submit a response to a submittal before the BIC responsibility is shifted to the next workflow group. 

Things to keep in mind:

  • If you create a group where none of the approvers are marked as required, then the first response submitted by a member of that group of approvers will shift the BIC responsibility to the next workflow group. 

Demo

The image below describes how this new feature functions on the submittal workflow:

  • In the demo above (see line item 1), the user named Susan Nelson has been designated as the role of Submitter and her response is marked as required. This means Susan must submit a response before the BIC responsibility shifts to the members of the workflow group designated in line item 2. 
  • In line item 2, two (2) of the approvers are marked as required (i.e., Demo Architect and Eddie Engineer). In this example, both of these users must submit a response to submittal before BIC responsibility shifts to the next workflow group. In addition, a response from Penny Project Manager would NOT be required because the checkbox for her username is blank.
