Export a Commitment to Viewpoint Vista

Objective

How to export a commitment in Procore (e.g., a subcontract or purchase order) to Viewpoint Vista.

Background

This process consists of actions that are typically performed by two different users. 

  1. Project Manager. Approves the new commitment and sends it to the ERP Integrations tool for acceptance by an accounting approver.
  2. Accounting Approver. Reviews the commitment in the ERP Integrations tool and then submits an 'Accept' or 'Reject' response:
    • Accepted commitments are exported to Viewpoint Vista
    • Rejected commitments are NOT exported to Viewpoint Vista.
  3. Project Manager. Procore returns rejected commitments to an editable state in the project's Commitments tool.

Things to Consider

  • Required User Permissions:
    • 'Standard' or 'Admin' level permission on the ERP Integrations tool.
      AND
    • The person's account must be granted the 'Can Push to Accounting' privilege in the Company Directory. To request to enable this privilege, submit a request to your Procore point of contact. This must be enabled for you by Procore. 
  • Prerequisites:
  • Limitations:
    • To add a Schedule of Values (SOV) line item to a commitment, it must be tied to an existing cost code and cost type.

Workflow

Follow the steps below to create commitments in Procore and then export them to Viewpoint Vista.
Important! After a Procore project is synced with a Viewpoint Vista job, commitments must always be created in Procore using the steps below. Do NOT create commitments directly in Viewpoint Vista.
