Integration by Procore: Add a Viewpoint® Spectrum® Job to Procore

Objective

To add a new job in Viewpoint® Spectrum® and then import it into Procore to create a new project. 

Background

A "job" in Spectrum is equivalent to a "project" in Procore. If you first created a construction job for a customer in Viewpoint® Spectrum® , you may use the steps below to add it to Procore. This creates a new Procore project that contains all of the relevant job information imported from Viewpoint® Spectrum®. Synchronized project data includes the following:

Things to Consider

  • Required User Permissions:
    • 'Standard' or 'Admin' on the company's ERP Integrations tool.
      AND
    • The person's account must be granted the 'Can Push to Accounting' privilege in the Company Directory. See Grant Accounting Approver Privileges.
  • Prerequisites:
    • Complete the steps in Spectrum: Setup Guide
    • Ensure that the name of the Viewpoint® Spectrum® job you plan to import is accurate. The name of the Viewpoint® Spectrum® job will become the name of the Procore project. 
  • Additional Information:
    • When configured for Viewpoint® Spectrum®, the ERP Integrations tool supports project imports and standard cost code syncs for Viewpoint® Spectrum® companies using a three-tiered cost code structure.

Steps

  1. Navigate to the ERP Integrations tool.
    This reveals the Viewpoint® Spectrum® Integrations page. 
  2. Click the Jobs subtab. 
  3. In the 'Filters' menu, click Ready to Import.
    This reveals the 'Jobs Only in Spectrum' list. It summarizes jobs that can be imported by Job Number, Project Name, and Status
    Note: To appear in the 'Ready to Import' list, the project must be in the 'Active' status and the 'Major Group Start' and 'End Position' fields must be completed in Viewpoint® Spectrum®.
  4. Locate the Viewpoint® Spectrum® job that needs to be imported to Procore.
    (Note: If you have a long list of projects, use the advanced search and filter options). 
  5. If you want to apply a Procore project template to the new project, select one from the Procore Project Template list. See Configure a Project Template
  6. Click Add to Procore.
    This syncs the data from the Viewpoint® Spectrum® job with the Procore project.
     Note
    If your company account has a project limit, a banner will appear at the top of the page to notify you when your project limit has been reached. 
  7. After the sync is complete, click the Synced link in the 'Filters' menu to view the newly created Procore project.
    Note: The name of the Viewpoint® Spectrum® job is used as the Procore project name.
