Who can view a 'Draft' RFI?

Answer

An RFI in the 'Draft' state can only be viewed by a limited number of people.

If You Create an RFI as a 'Draft'

'Draft' RFIs that are not marked 'Private' are visible to:

  • The RFI's creator
  • The RFI Manager
  • Users with 'Admin' level permissions on the project's RFIs tool

'Draft' RFIs that are marked 'Private' are visible to:

 Note
  • Users who are designated as the RFI's 'Assignees' or who have been added as a member of its 'Distribution List' will not be able to view the 'Draft' RFI until it is marked 'Open'. See Edit an RFI.
  • A 'Draft' RFI will not appear in the 'My Open Items' area of the Portfolio tool for the person who has the current Ball In Court (BIC) responsibility for the RFI. See View My Open Items in the Portfolio Tool.

If You Mark an RFI as 'Private'

If you want to make an 'Open' or 'Draft' RFI private, mark the Private checkbox while creating or editing the RFI. When an RFI is 'Private', it can only be viewed by:

  • The RFI's creator
  • The RFI Manager
  • The RFI's Assignee - 'Open' RFIs only
  • The RFI's Distribution List members - 'Open' RFIs only
  • Users with 'Admin' level permissions on the project's RFIs tool
  • Users with the 'View Private RFIs Associated to Users within Same Company' granular permission enabled on their permissions template (if another user in their company [including them] is the RFI's creator or is designated as the RFI Manager, an Assignee, or a Distribution List member)

To mark new RFIs 'Private' by default, see Configure Settings: RFIs.
